Do Company Vehicles Need Extra Papers?

Company vehicles often need clearer authority and records than a private car. Check who can approve disposal, gather the V5C and business details, use a traceable payment route, and keep receipts, DVLA confirmation and any destruction evidence with the company's vehicle file.

Treat The Vehicle As A Business Asset

Company cars and vans often have more paperwork around them than private vehicles. There may be fleet records, accounts notes, insurance schedules, finance history, driver allocations and old service files. For a business, that record matters because old vehicle letters can arrive months later and nobody remembers which employee arranged the scrap. Keep DVLA confirmation where the office can find it.

Add Tax, Insurance And Fleet Notes

If road tax was active, remember that refunds are for full remaining months from when DVLA receives the information. Tell the insurer or fleet provider once disposal is confirmed. If the vehicle had fuel cards, trackers, parking permits or tools assigned to it, close those records too.
